Coding should be consistent with funding council early statistics. Refer to relevant funding council for full definitions. Normally when code 2 is returned, then either Instance.RSNEND and Instance.ENDDATE will be completed to end the student instance, or Instance.NOTACT will be completed to show the study is suspended. It has become more common for students to fail to complete the current year of instance but continue to study with the provider, this is particularly true of part-time students who drop a module. Code 9 can be used if the HESA reporting year does not contain, in part or in whole, a year of instance which has previously, is, or will be, included in the HESES population. Providers can however also use the other codes for such records. Where a student undertakes a foundation degree and bridging course in the same HESA reporting year Instance.FUNDCOMP, should reflect whether the student completed the foundation degree and will therefore usually be returned with a value of 1. Similarly where the student progresses to a degree after completion of the bridging course this field should reflect the completion status of the degree. Where a student undertakes a foundation degree and starts a bridging course in the same academic year, but the bridging course is counted in the next academic year, the Instance.FUNDCOMP field should reflect whether the student completed the foundation degree and will therefore usually be returned with a value of 1. If the bridging course does not continue into the next academic year, the Instance.FUNDCOMP field should reflect whether the student completed the bridging course. Similarly, where the student progresses to a degree after completing the bridging course, Instance.FUNDCOMP should reflect the completion status of the year of instance of the degree. Where a student transfers to another provider as part of a collaborative doctoral programme part way through a year of instance, having completed all planned activity at the original provider, they should be treated as a completion (Code 1). If they transfer without having completed all planned activity they should be treated as a non-completion (Code 2). In completing the Student record, it is noted that some students may still have opportunities after 31 July of the reporting year to undergo the final assessment within 13 months of the start of their year of instance. Wherever possible, the provider should seek to update its Student record to reflect the latest known completion status of the student. In doing so, providers will need to have due regard to the data collection timescales and the need to ensure high-quality returns.
